Your reservation history is gold, and you're probably not putting it to work. Everyone who has ever called, messaged, or booked at your restaurant has left a trail — name, phone number, date, frequency — that today sits idle in a spreadsheet or your reservation system. Bookline WhatsApp Campaigns turn that data into bookings: proactive messages you control, sent to the channel almost everyone opens.
Until now, your Bookline assistant only received calls. With Campaigns, you can also start the conversation yourself. This article explains how the module works under the hood — step by step, what it includes, and what you can measure — so you know exactly what to expect before you launch your first campaign.
Why WhatsApp (and why now)
WhatsApp has more than 2 billion active users and an open rate far above email. When you send a message to a customer who already knows you, they're almost certain to read it — and they'll read it in minutes, not days. In hospitality, where filling tables at specific moments is the difference between a slow night and a full house, that immediacy changes everything.
The catch is that until now nearly every business used WhatsApp only reactively: replying when the customer wrote first. The demand you already have — the person who called on a packed Friday, the one who booked three months ago and hasn't come back, the one who asked about a date you couldn't offer — went untapped. Campaigns flip that logic: they give you a channel to initiate contact yourself, at the right moment and at scale.
What the Bookline Campaigns module is
Campaigns is a module inside your Bookline client portal that lets you send proactive, bulk, measurable communications to your customer base over WhatsApp. It's not a separate tool or another login: it lives in the same space where you already manage your booking assistant.
The idea is simple: you choose the message and who receives it; we send it. Bookline handles the technical side — the connection to the WhatsApp Business API, template approval with Meta, and delivery — so you can focus on the message and the result.
Turn your reservation history into your next campaign
Bookline sets up the module, approves your templates, and sends for you. Tell us about your venue and we'll design a 30-day pilot.
Request your demoHow it works, step by step
Setting up a campaign always follows the same four-step path, and you do it on your own from the portal.
1. Create the campaign
You choose the campaign type based on your goal: announce something new, drive traffic to a website, or invite people to book. The goal shapes everything else, so it comes first.
2. Choose your audience
You send to your entire contact base or to a specific segment. This is where your reservation history works in your favor: you can target only the people who fit the offer instead of blasting everyone.
3. Pick a template and personalize
You select an approved template, add dynamic variables — name, date, offer — and choose the language. Variables make each message read as personal, not as a mass send.
4. Send and measure
You launch the campaign and check delivery and read metrics in real time. From there, you know what worked and who to reach again.
What the first release includes
The module launches with everything you need to run serious campaigns without depending on anyone:
- Contact management: upload your customer base as a CSV and manage it from the portal.
- Reservation history: access each customer's history to personalize with real context.
- Dynamic variables: name, date, or other details, so it doesn't look like a mass send.
- Approved templates: predefined and compliant with Meta's policy, with no friction or rejections.
- Basic metrics: how many messages were sent, delivered, and read.
- Setup from the portal: you build the campaign on your own, in your usual space.
The three campaign types
Not every campaign is after the same thing, so the module distinguishes three types based on what you want to achieve:
- Inform: an informational message for your audience — a heads-up, an update, or a reminder. "Our new seasonal menu is here. This weekend you can be among the first to try it."
- Call to action: you invite people to act on an external website and measure conversion through clicks on the link. "Discover our new seasonal menu 👉"
- Bookings: you reach out to customers so they book directly, with an interactive AI agent that closes the reservation right inside the chat. "Book any day from Monday to Thursday and dessert is on us."
That last type is the one that connects Campaigns to the rest of Bookline: the message doesn't end at a link, it ends in a conversation that completes the booking on its own.
What you can measure
A campaign you can't measure is an expense, not an investment. Campaigns records the full send funnel:
- Estimated: the valid audience calculated before you send.
- Sent: messages that leave the portal for WhatsApp's servers.
- Received: the ones that reach the contact's phone.
- Read: the ones that get opened (only counted if the recipient has read receipts turned on, so the real number is usually higher).
- Link clicks: contacts who tap the template's button.
- Activity per contact: who interacted and how, customer by customer.
And depending on the campaign type, you measure the conversion that matters: with Inform, the delivery and read funnel; with Call to action, the clicks to the final URL; with Bookings, the tables actually reserved from the campaign, end to end.
Why it's not the same as sending WhatsApp on your own
You could grab the WhatsApp Business app and start messaging your customers one by one. It wouldn't last long: without the official API you end up with your number blocked, without approved templates your messages get rejected, and without data you don't know what works.
With Bookline Campaigns you work on top of the WhatsApp Business API with pre-approved templates, personalize with the reservation history Bookline already has, and measure everything from the portal — without writing a line of code or wrestling with Meta. And, above all, it's the only place where your inbound communication (the calls your assistant handles) and your outbound communication (the campaigns) live together. You can explore ready-to-use examples and templates or the template types for inspiration before you start.
